Job Opening: Administrative Assistant

Administrative Assistant

Overview:

Millbrook Baptist Church is celebrating our 150th year of ministry in North Raleigh. We strive to be a community of effusive welcome, one that meets people where they are right now. We are seeking an Administrative Assistant who will be an integral part of our hospitality. This person will be the face of our daily communications, help support our ministries and programs, and join a team committed to pursuing God’s love and justice near and far. The position will fall under the supervision of the Senior Minister, and work alongside the entire ministry team. The position is on-site for 20 hours per week, but there is flexibility for the schedule. Primary Responsibilities:

  • General reception duties include: greeting visitors, answering phone calls, responding to church correspondence (email, voicemails, and postal mail), and receiving deliveries.
  • Primary point of contact for service vendors including arranging service calls, procuring estimates for needed services, and assisting the finance team with billing.
  • Office management services including maintaining congregational calendar (Google), mail distribution, general correspondence, managing office equipment and services, and procurement of office supplies
  • Attends and helps to lead weekly staff meetings that set short, medium, and long-term priorities; ideates and contributes in collaborative work sessions
  • Assists staff in the creation/production of congregational support documents including:
    • weekly worship bulletins (print and digital via Canva)
    • weekly newsletter (digital via Constant Contact)
    • seasonal publications (digital and print via Canva and Constant Contact)
    • churchwide and committee meeting documents (digital and print via Microsoft Office)
    • special service programs (digital and print via Canva and Constant Contact)
  • Assists staff/congregational leaders as needed in updates to Social Media (YouTube, Facebook and Instagram) and church website (WordPress)
  • Supports finance team in acknowledgement of special gifts, giving records/statements (as needed), running monthly reports, ensuring timely delivery of bills and invoices for processing.
  • Liaises with committee chairs, staff, and custodian regarding building and grounds issues
  • Liaises with community partners using building and grounds for regular and special events
  • Maintains diary of building use requests
  • Assists in the creation of an annual congregational directory; maintain monthly updates
  • Primary staff lead in effectively implementing church membership management software (Realm); onboards staff and lay leaders for key features; offers congregational support as needed
